Administrative Assistant

Seeking an administrative assistant highly organized, productive, and detail oriented with critical and innovative thinking skills to improve and streamline business practices, where possible. You will have the opportunity to work in a highly visible position, managing the day-to-day activities of a fast-paced front office by utilizing good judgment to make management aware of issues that could have a broader impact on the organization. Your responsibilities will include the following: • Providing direct support to front office executive and government authorities to include the following: o Daily organization and reviewing of executive calendars o Managing executives schedule appointments o Providing daily support to executives, as needed • Performing administrative functions, such as email and memo correspondence • Maintaining correspondence suspense files, records, files for reports, operating procedures, internal memorandums, and composing correspondence • Creating and coordinating travel arrangements utilizing government systems • Providing technical writing and editing support for memos • Preparation of graphical and narrative presentation materials (e.g., Microsoft Project and PowerPoint) • Making copies of correspondence and other printed material • Maintaining scheduling and event calendars for multiple executives • Coordinating conference room scheduling for division staff • Communicating policies, standard operating procedures (SOPs), and business goals of the organization • Researching best practices and highlighting techniques and tools that fit the government's needs • Providing a good ROI for an enhanced IT governance posture • Planning and coordinating program management process activities, such as program reviews and control gate reviews, including the scheduling of meetings and preparation of briefings and presentations • Facilitating meetings and creating slides for meetings and program management reviews, including preparing and distributing meeting minutes and action items • Coordinating project schedules, including participation in meetings, documentation and distribution of minutes and action items, and tracking action items for their successful completion • Utilizing Microsoft SharePoint to assist in the response to requests for status and policy comments from executive and government authorities to include the following: • Researching status and policy impacts across government offices o Drafting and coordinating responses to requests in a timely manner o Seeking the necessary approval for responses, when required o Tracking and monitoring action items through ensuring completion • Organizing and planning events (e.g., all hands, brown bags, ceremonies, and other customer events) • Tracking time and attendance for the customer • Providing backup to other front office project integrators and systems integrators periodically to cover planned and unplanned absences

Mandatory Skills

• Experience utilizing Microsoft Office Suite 2016 with a focus on Outlook and managing multiple calendars • Broad experience, skill, and knowledge of organizational policies, practices, and procedures • Ability to prepare for and facilitate reviews with senior executives • Strong verbal and written communication skills • Proactive communicator in supporting multiple divisions • Self-motivated and ability to multi-task • Experience with other customer proprietary programs
